Harmony IT Pty Ltd (ABN 64 673 771 483) (“we”, “us”, “our”) respects your privacy. This policy explains how we collect, use, disclose and protect your personal information, in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). It covers our website, our IT support services, and our AI integration and automation services. Separate arrangements apply where we handle data on behalf of a client (see section 7).
1. Information we collect
The kinds of personal information we may collect include:
- Contact and identity details — name, business name, role, email, phone, address.
- Account and billing details — services purchased, billing contact, payment records (we do not store full card numbers).
- Technical and support information — device, system, network and log data needed to provide support and monitoring.
- Project and communications data — emails, messages, notes and documents you share with us.
- Website data — IP address, browser type, pages visited and cookie data (see our Cookie Policy).
We generally do not seek sensitive information; if we need to, we ask for consent unless otherwise permitted by law.
2. How we collect it
We collect personal information directly from you where reasonable — when you contact us, request a quote, enter an agreement, use our services, or interact with our website — and also from your authorised staff, our service tools, and public sources. If you provide information about another person, you must be authorised to do so.
3. Why we collect, hold and use it
We use personal information to:
- provide, manage and support our services and respond to enquiries;
- prepare quotes, agreements and invoices, and manage payments;
- design, build, operate and improve AI integrations and automations for you;
- maintain security, monitor systems, and meet legal and contractual obligations; and
- with your consent, send relevant updates (you can opt out at any time).
We use personal information only for the purpose collected, a directly related purpose you would reasonably expect, or as permitted or required by law.
4. Disclosure
We may disclose personal information to our personnel and subcontractors (under confidentiality), third-party technology and AI providers we use, your authorised representatives and (where relevant) the client, and government bodies or advisers where required or authorised by law. We do not sell personal information.
5. Artificial intelligence & automated processing
- AI outputs may be inaccurate and are intended to assist human judgement; we keep a human in the loop for high-stakes workflows.
- We do not use your or your customers’ personal information to train third-party public AI models, and configure services to limit data retention where available.
- Where automated processing is used to make, or substantially assist in making, a decision that significantly affects an individual, we disclose this in line with our legal obligations (including automated decision-making transparency requirements that apply from December 2026).
6. Cookies & our website
Our website uses cookies and similar technologies to make the site work, remember preferences, and understand usage. You can disable non-essential cookies via our cookie banner or browser settings; some features may not work without them. See our Cookie Policy for detail.
7. Handling client data & overseas disclosure
When we provide services we often handle personal information belonging to our client and their customers. In that role we act on the client’s reasonable instructions and use the data only to provide the services; the client remains responsible for the notices and consents it must give individuals. Some providers store or process data outside Australia (for example the US or EU). Where we disclose personal information overseas, we take reasonable steps to ensure it is handled consistently with the APPs.
8. Security & retention
We take reasonable steps to protect personal information — access controls, encryption in transit, multi-factor authentication, monitoring and staff training. No method is completely secure, but we review our safeguards regularly. We keep personal information only as long as needed for the purposes above or to meet legal obligations, then securely destroy or de-identify it.
9. Access, correction & complaints
You may request access to, or correction of, the personal information we hold about you using the contacts below; we respond within a reasonable time and may verify your identity. If you have a privacy concern, contact our Privacy Officer. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or 1300 363 992.
10. Data breaches
We maintain a data breach response plan. If a breach is likely to result in serious harm, we notify affected individuals and the OAIC as required under the Notifiable Data Breaches scheme. Where we hold data for a client, we notify the client without undue delay and cooperate in their response.
